IntelliDealer review: what it does for equipment dealers
A plain-English look at IntelliDealer DMS from VitalEdge: what it does, who it fits, what to ask in a demo, and where to be careful.

What it is
IntelliDealer is a dealer management system, or DMS. A DMS is one computer system that runs the whole store. Sales, parts, service, rental, and the books all live in it. VitalEdge Technologies owns it. You may also see old names: CDK Heavy Equipment and PFW IntelliDealer. Same family, new owner. Do not mix it up with CDK Drive, which is for car dealers.
What the vendor says it does
The VitalEdge product page lists parts, service, sales, rentals, OEM connections, reporting, and CRM. OEM means original equipment manufacturer — the factory that built the machine. An OEM connection lets your store order parts and file warranty claims with the factory inside the system. VitalEdge also lists telematics through LHP. Telematics means live data from the machine itself, like hours and location.
Who uses it
VitalEdge named RDO Equipment, Equipment One, Ahearn Equipment, and Stephenson Equipment in its 2026 customer awards for IntelliDealer. That is a vendor announcement, not our own check. Still, it shows real dealerships run on it. Ask the vendor for a reference store near your size.
Where to be careful
- No public price was found on the pages we checked on 2026-11-05. Ask for a written quote.
- The public site does not say which modules cost extra. Ask for a line-item quote.
- Old names on the web (CDK, PFW) can point to old info. Check the date on anything you read.
- We did not test a private account. This guide is from public documents only.
Questions for your demo
- Which modules are in the base price, and which cost more?
- Which factories (OEMs) do you connect with for parts and warranty?
- How does a lead become a quote, then an order, then an invoice?
- What does moving our data from our old system look like?
- Can we talk to a dealer our size who uses it now?
Which dealers it fits
Based on the public pages, IntelliDealer is aimed at established equipment dealers who want sales, parts, service, and rental in one system, with factory connections. A one-store mower shop with no service department may find it more system than it needs. A multi-store dealer with a busy shop and a rental fleet is closer to the picture the vendor paints. The 2026 awards names — RDO Equipment, Equipment One, Ahearn Equipment, Stephenson Equipment — are real dealerships, and mostly larger operations. If you are small, ask directly: what is the smallest dealer that runs this well?
A realistic demo scenario
Do not let the vendor drive the whole demo. Bring one of your own deals. Suggested script: a customer calls about a used compact track loader. Have them log the lead in the CRM, build a quote from a real unit record, add a trade-in, send it for approval, and turn the approved deal into an invoice. Then ask them to find that customer's full history six months later. If any step needs a spreadsheet, a second screen, or a note card, you just learned something the brochure will not tell you.
Cost questions to bring
No public price was found on the pages we checked on 2026-11-05, so the quote meeting is where the real numbers appear. Ask for a line-item quote: base license, each module, each OEM connection, data migration, training, and the monthly support fee. Ask what the price does in year two and three, after any first-year deal ends. Then put the numbers in the three-year cost tool on our pricing page and compare the total, not the monthly payment.
Our honest take
IntelliDealer looks like a full, established dealer system with documented help files and named customers, which is more than many vendors show publicly. The open questions are price, which modules cost extra, and how it fits a smaller store. If you run a growing equipment dealership with parts, service, and maybe rental, it belongs on your demo list. If you are a small lot with simple needs, compare it against the OPE-focused systems before you sign anything. Either way, the demo script and reference calls matter more than any review, including this one.
