Implementation and migration

IntelliDealer implementation and data migration

What moving to IntelliDealer really involves: data, training, go-live, and a readiness checklist you can export.

Based on public product documentation. We have not tested a private account. Sources checked 2026-11-05. Product names belong to their owners; this is an independent guide, not an endorsement.

The hard part is not the software

Switching a DMS is like moving your whole house while the store stays open. The software install is the easy part. The hard parts are your data, your people's habits, and the first month of go-live. Plan for those, and the move has a much better chance of going well. Skip them, and it usually hurts.

Your data, in buckets

Customers. Units in stock. Parts with counts and costs. Open work orders. Open quotes. Rental contracts. Balances owed. Each bucket needs a plan: what moves, what gets cleaned first, and what stays in the old system as read-only history.

What to ask VitalEdge

  • Who does the data mapping, us or you?
  • How many test loads do we get before go-live?
  • What training is included, on site or remote?
  • What does week one support look like?
  • Can we run old and new side by side for a month?

A realistic timeline

Vendors rarely publish timelines, and VitalEdge does not publish one for IntelliDealer. For a mid-size dealer, a careful move is usually measured in months, not weeks. Anyone who promises a fast switch with no data work is selling, not planning. Ask for a written project plan with your store's name on it.

Use the checklist

The checklist below is the same one we would use. Check items off as you finish them. Export it to CSV and bring it to your vendor meeting. A vendor who answers every line clearly is a vendor who has done this before.

A worked task: the parts count test

Pick one aisle. Count fifty parts by hand, then compare against the old system. Hypothetical example: the shelf shows 48, the system shows 51, and three part numbers are duplicates. Expected output: a written gap list you hand to the vendor. That list is the real size of your migration, and it is better to learn it now than in go-live week.

Edge cases that sink go-lives

  • Open work orders mid-job: decide if they finish in the old system or move.
  • Customers with two records and two balances.
  • Units on rent the day you switch: contracts must not break.
  • Core charges and deposits that live outside normal invoices.
  • Staff who learn the new screen but keep the old spreadsheet.
