Quoting and sales handoff

IntelliDealer quoting and the sales handoff

How a quote should move from rep to desk to invoice in IntelliDealer, and how to keep the financing talk clean.

The handoff problem

Deals can stall in the handoff. The rep writes a number on a card. The desk re-types it. The numbers do not match. The buyer waits. A DMS fixes this by keeping one quote in one place that everyone sees.

What the vendor documents

The VitalEdge webinar shows a connected path: lead, quote, approved order, invoice. The quote is tied to a real unit in inventory. When the deal is approved, the same record becomes the order. Nobody re-types it. That is the promise. Watch it happen live in your demo, with your own unit numbers.

Where financing fits

The quote stage is where the money talk starts. If the buyer needs financing, the clean move is to hand the file to your financing partner early, with the machine details already correct. A good DMS quote has the year, model, hours, serial number, and price. That is exactly what a funding firm asks for.

Handoff checklist for your team

  • Quote shows unit year, model, hours, and serial number.
  • Trade-in, if any, is on the quote, not a side note.
  • Buyer name and contact info are complete.
  • The rep logs why the buyer wants the machine.
  • Financing need is flagged before the desk calls the buyer.

Worked example

A tree service buyer wants a used chipper at $42,000 with $6,000 down. The rep builds the quote from the real unit record, so the serial number and hours are right. The desk sends the file the same day. The funding firm reads a clean file instead of asking for the plate photo twice. The deal moves because the paper is boring. Boring is good.

A worked task: the trade-in stress test

Suggested demo test: quote one of your real used units with a trade-in attached. Inputs: the unit's serial number, hours, your cost, and a trade worth less than the buyer owes on it. Expected output: one quote that shows the unit, the trade, the payoff shortfall, and the real amount to finance. The exception that exposes weak quoting: a trade value typed into a notes field instead of a real field, because notes do not flow to the order or the funding file.

Do this week

Pull your last ten sold deals and count how many had a trade-in. If it is more than half, make trade handling a must-see item in every demo, not an afterthought.
