What a work order is
A work order is the shop's ticket: this machine, this customer, this problem, this tech, these parts, this many hours. When the job is done, the ticket becomes the invoice. Sloppy ticket, wrong invoice, arguing customer.
What the vendor says
DIS says Quantum lets you schedule service, create work orders, and track every job, unit, and technician in one place. It also says field techs can access and update work orders, customer details, and parts inventory on the go. A customer quote on the Quantum page says having imported data available when creating work orders cut research time. That is a vendor-published testimonial, not our test.
Questions that expose weak shop software
- Can a tech clock on and off a job from the field?
- Do parts added to the ticket come out of stock right away?
- Can the writer see the machine's full service history?
- How are warranty jobs flagged and filed?
- Can a customer approve added work by text or email?
Worked example
A field tech gets to a downed telehandler. She opens the work order on her phone, sees the unit's history, adds a filter and a hose from her truck stock, and logs two hours. The office sees the ticket update live and bills it the same day. No paper ticket in a truck door for a week.
The money angle
Ask for tech hours paid versus billed. If the system cannot show that quickly, your shop's real profit is a mystery.
A worked task: the field tech phone test
DIS says field techs can access and update work orders on the go. Suggested demo test: hand the tech's own phone to the demonstrator and have them open a ticket, add a part from truck stock, and log time. Inputs: one phone, one open job. Expected output: the office sees the update without a call. The exception to test: truck stock. Ask how parts on the truck are tracked, because a part that leaves no record anywhere is a part you buy twice.
Do this week
Count how many paper tickets or texted photos your field techs send in a week. That count is what mobile work orders have to replace.
| Stage | What should happen |
|---|---|
| Schedule | Job lands on a tech's day with the right skills |
| Write-up | Unit and customer data fill in from records |
| Work | Tech logs time and parts from the field |
| Approval | Customer signs off on added work |
| Invoice | Bill matches the ticket, no re-typing |
