Handle CRM tasks and follow-up: the daily list
How a task-driven follow-up system runs a rep's day, and the follow-up math that tells you what it is worth.

The daily list is the product
A follow-up CRM lives or dies on one screen: the rep's list for today. Who needs a call, what was promised, what is overdue. If that list is complete and trusted, follow-up happens. If reps keep their own lists on paper, the system is already dead.
A weekly follow-up rhythm
- Monday: every open quote older than five days with no logged contact.
- Wednesday: every lead from the weekend with no first call yet.
- Friday: every sold customer from 30 days ago, checking in.
- Season start: everyone whose machine is aging out.
What to check in the demo
- Is today's list the first thing a rep sees?
- Can a manager see overdue tasks across the team?
- Do completed tasks land on the customer record?
- Can tasks come from emails and calls, not just manual entry?
- Can you build a list from equipment age or purchase history?
A follow-up what-if
Use the tool below with your own numbers: leads per month, a small lift in conversion, average gross profit per deal, and the CRM's monthly cost. If a trusted daily list won even one extra deal a month, what is that worth? It is a what-if, not a promise. The list reminds; your reps still call.
A worked task: the overdue sweep
Suggested demo test: ask to see every overdue follow-up across the whole team on one screen. Inputs: your team's real workload. Expected output: a list a manager can act on without asking anyone. The exception that hides the truth: overdue tasks only count if reps log promises in the first place. Ask what the system does when a rep makes a promise in the yard and never enters it, because that gap is where buyers cool off.
Do this week
Ask each rep who they promised to call back this week. If the answers live in heads and notebooks, you have measured the problem.
| List | Why it works |
|---|---|
| Old quotes, no contact | Buyers waiting on an answer |
| New leads, no first call | Speed wins deals |
| Sold 30 days ago | Catch problems early, earn reviews |
| Past due for upgrade | Their machine is aging out |
| Service-only customers | They trust you, but never bought |
Follow-up what-if tool
A what-if scenario, not a promise. Better follow-up may not cause more sales. Entered numbers only; illustrative defaults.
| Extra deals per month (scenario) | 1.0 |
| Gross profit from those deals | $2,000 |
| Net after software cost | $1,500 |
