Service plus warranty, one ticket
A work order is the shop's ticket: machine, customer, problem, tech, parts, hours. Warranty is the factory paying for covered work. When service and warranty live in one system, the writer sees coverage before billing the customer, and the claim goes to the factory without re-typing.
Why warranty filing is cash flow
Warranty work is done before the factory pays. Slow or rejected claims are your money sitting in limbo. A system that files clean claims fast shortens that wait. Ask the vendor how claims are filed for your brands and how rejections are tracked.
What the vendor lists
VitalEdge lists service and warranty among e-Emphasys operations. Public pages do not show the claim screens, so treat depth as unconfirmed and test it live with a real claim scenario from your shop.
What to test in the demo
- Open a work order from a unit record with full history.
- Flag a job as warranty and file a claim.
- Track a claim from filed to paid.
- See tech hours paid versus billed.
- Handle a comeback: same machine, same problem, again.
The payback math
Service software pays back through billed hours, fewer missed warranty claims, and less re-typing. Use the tool below: one-time setup cost, monthly savings you expect, and any added monthly cost. If savings do not beat the added cost, the honest answer is: not yet.
A worked task: follow one claim to the money
Suggested demo test: file a warranty claim from a real work order and track it to payment. Inputs: a warranty job from last month. Expected output: the claim leaves the system, its status is visible while the factory reviews it, and the payment is matched when it arrives. The exception that costs real cash: rejected claims. Ask where rejections land and who sees them, because a rejected claim nobody reworked is your money sitting in limbo.
Do this week
Ask your office how much warranty money is outstanding right now and how old the oldest claim is. Those two numbers are your warranty module business case.
| Stage | What should happen |
|---|---|
| Coverage check | Writer sees warranty status before billing |
| Claim filed | Claim goes to the factory from the ticket |
| Factory review | Status tracked inside the system |
| Paid or rejected | Payment matched, rejections flagged for rework |
