Implementation and migration

e-Emphasys implementation and migration

What an ERP move really involves for a dealer group: configuration, data, training, and a readiness checklist you can export.

An ERP move is a company project

Moving to an ERP is not an IT job. It is a company project. Every department changes how it works on the same day. The dealers who do this well name one person to own the project, clean their data early, and train by department. The ones who do it badly treat it as a software install.

Configuration is the big rock

Configuration means teaching the system your rules: how costs are coded, who approves what, how branches roll up, how warranty flows. This is most of the one-time cost and most of the timeline. Ask for a written configuration plan with hours and names.

Data buckets to plan

  • Customers and their balances.
  • Units in stock with costs and serial numbers.
  • Parts with counts, costs, and locations per branch.
  • Open work orders, quotes, and rental contracts.
  • Accounting history: decide how many years move.

Timeline honesty

VitalEdge does not publish an e-Emphasys timeline, and we will not invent one. For a multi-branch group, a careful ERP move is measured in months. A vendor who promises speed without a written plan is selling, not planning.

Use the checklist

The checklist below is the same one we would use. Check items off as you finish them, export to CSV, and bring it to your vendor meetings. Clear answers to every line are the sign of a vendor who has done this before.

A worked task: the configuration interview

Before signing, ask the vendor to interview one person from each department about how work really flows, and to write the answers into the configuration plan. Inputs: your department heads and two hours each. Expected output: a written plan where your rules, not the vendor's defaults, drive the setup. The exception that sinks ERP projects: a configuration built on how the vendor assumes dealers work. Your approval chains and cost codes are yours, and the plan should say so.

Do this week

Decide how many years of accounting history move to the new system. That single decision changes migration cost more than almost any other, and it is yours to make, not the vendor's.
