Rental across branches
A rental fleet spread over branches needs one truth: where each unit is, what it earns, and when it needs service. If each branch tracks its own fleet, units sit idle in one town while another town turns customers away.
What the vendor lists
VitalEdge lists rental among the operations e-Emphasys connects, alongside service, parts, and accounting. The value is in the ties: a rental return can trigger an inspection work order, and the bill lands in the same books as everything else.
What to test in the demo
- See fleet utilization across all branches.
- Move a rental unit between branches.
- Build a contract with day, week, and month rates.
- Run an out-and-back inspection with photos.
- See rental profit per unit, not just revenue.
Utilization is the number
Utilization is the share of days a unit is out on rent. A unit at 40 percent utilization might still lose money after service and payments. A unit at 70 percent usually earns. Ask the vendor to show utilization per unit per branch, then ask how they compute it. Different math gives different truth.
Worked example
A group sees one branch's skid steers at 75 percent utilization and another's at 35 percent. The system makes the imbalance obvious, so units move to where the work is. Same fleet, more rent collected.
A worked task: the imbalance report
Suggested demo test: show utilization per unit per branch for last quarter, sorted worst to best. Inputs: your fleet list. Expected output: the units sitting idle in one town while another branch turns renters away. The exception to ask about: how the system counts a unit mid-transfer between branches. If transfer days vanish from both branches' numbers, utilization looks better than reality.
Do this week
Pick your five most expensive rental units and estimate each one's utilization by hand. If you cannot, that gap is exactly what the demo must close.
| Number | What it tells you |
|---|---|
| Utilization | Days rented versus days sitting |
| Revenue per unit | What each machine earns |
| Service cost per unit | What each machine costs to keep |
| Downtime | Days a unit cannot rent |
| Profit per unit | The only number that really matters |
