Implementation and migration
Ideal implementation and data migration
What moving to Ideal really involves: data buckets, training, go-live timing for seasonal stores, and a checklist you can export.

The hard part is not the software
Switching a DMS is like moving your whole house while the store stays open. The hard parts are your data, your people's habits, and the first month of go-live. For an OPE dealer, timing matters extra: do not go live in April.
Pick your slow season
OPE is seasonal. A go-live in the slow months gives your team room to learn. A go-live at spring rush is how you end up with a revolt. Ask Ideal what they recommend, and be suspicious of any plan that lands your first week in your busiest month.
Your data, in buckets
Customers. Units in stock. Parts with counts and costs. Open work orders. Open quotes. Rental agreements. Balances owed, including commercial charge accounts. Each bucket needs a plan: what moves, what gets cleaned first, and what stays in the old system as read-only history.
What to ask Ideal
- Who does the data mapping, us or you?
- How many test loads do we get before go-live?
- What training is included, on site or remote?
- What does week one support look like?
- What go-live timing do you recommend for a seasonal store?
Use the checklist
The checklist below is the same one we would use for an OPE store move. Check items off, export to CSV, and bring it to your Ideal meeting. Pay special attention to the go-live timing line: for a seasonal store, that line matters more than any other.
A worked task: pick the go-live month
OPE is seasonal, so the calendar is a migration decision. Suggested exercise: mark your four busiest weeks on a calendar and your four slowest, then ask Ideal which slow window they recommend for go-live. Inputs: your season. Expected output: a go-live date your team can survive. The exception to reject: any plan that lands your first week in April or May. A go-live at spring rush is how you get a staff revolt, no matter how good the software is.
Do this week
Export your customer list and start merging duplicates now. Clean data helps every vendor's migration quote and every system's first week.
| Data bucket | Clean before you move? |
|---|---|
| Customers | Merge duplicates, fix phone and email |
| Units | Verify serial numbers and costs |
| Parts | Count the shelf before you trust the number |
| Open work orders | Finish or move, never lose one |
| Charge accounts | Match balances to the penny |
