Implementation and migration

c-Systems implementation and data migration

What moving to c-Systems involves: data buckets, training, slow-season go-live timing, and a checklist you can export.

The hard part is not the software

Switching systems is like moving your whole house while the store stays open. The hard parts are your data, your people's habits, and the first month of go-live. For an OPE dealer, timing matters extra: plan around your season, and keep the spring rush clear of go-live week.

Pick your slow season

OPE is seasonal, so the calendar is a migration decision. For most stores that means a fall or winter go-live, when the counter is quiet enough for people to learn. Ask c-Systems what they recommend, and be suspicious of any plan that lands your first week in your busiest month.

Your data, in buckets

Customers. Units in stock. Parts with counts and costs. Open work orders. Open quotes. Rental agreements if you rent. Balances owed, including commercial charge accounts. Each bucket needs a plan: what moves, what gets cleaned first, and what stays in the old system as read-only history.

What to ask c-Systems

  • Who does the data mapping, us or you?
  • How many test loads do we get before go-live?
  • What training is included, on site or remote?
  • What does week one support look like?
  • What go-live timing do you recommend for a seasonal store?

Use the checklist

The checklist below is the same one we would use. Check items off, export to CSV, and bring it to your c-Systems meeting. If you are moving from an installed system to Infinity Cloud, add one line of your own: what happens to the old server and its backups.

A worked task: the charge-account penny match

OPE dealers carry commercial charge accounts, and those balances must move perfectly. Suggested exercise: before go-live, print every charge-account balance from the old system and match the new system to the penny. Inputs: your charge-account list. Expected output: a signed-off match, account by account. The exception that erodes trust fast: a commercial customer whose balance is wrong in week one. They will notice before you do, so this check is not optional.

Do this week

Pick your go-live window in the slow months and tell the vendor that date is fixed. A seasonal store that goes live in spring is choosing pain.
